A final carton reference should lead back to the original return, SKU and authorised quantity.
Keep the original reference through each arrival
Record the owner or project, original return or removal reference, SKU and quantities actually received. If the batch arrives in parts, each arrival needs its own observation and time. Do not repeat the entire expected quantity for every partial delivery.
Separate ready items from pending items
Some goods may be received but not yet inspected; others may be inspected but waiting for a decision. Consolidate only the items covered by the agreed release. Preserve the status of the rest, including items that need further checks or approval for additional work.
Map approved goods to final cartons
For every final carton, retain the original item references, SKUs and packed quantities. Identify any packaging retained or replaced. Check that the released quantities and remaining stock reconcile at item level; overlapping handling actions are not additional stock.
Confirm the handover on the final packaging
Review packed dimensions and weight, destination, recipient, route and receiving conditions before approving transport. Record the handover reference and actual release time with timezone. Dispatch, carrier handover and final delivery are separate events; do not use one as proof of another.
Before you authorise the work
- Can each final carton be traced back to the original returns?
- Are only inspected or otherwise authorised items released?
- Are quantities, remaining stock and replaced packaging clear?
- Are the route, recipient and final packed measurements confirmed?
